Ayers Saint Gross is seeking a motivated Administrative Assistant/Receptionist to collaborate with client-focused design professionals in support of the firm’s administrative, executive assistance and marketing efforts for the Tempe, Arizona office. The ideal candidate will play an important role in supporting the leadership and project teams in daily office operations and marketing and business development efforts. S/he will need to be an efficient and quick learner and an enthusiastic team player who can adjust to a variety of working styles. This person must be detail-oriented, organized, a self-starter, have excellent verbal and written skills, and work both independently and in collaborative group settings.

Working closely with the office/marketing manager and the leadership team, the person who succeeds in this role will thoughtfully contribute in a variety of ways, including:

Responsibilities

  • Greet visitors, answer phones
  • Assist Principals and senior staff with telephones and voice mail
  • Manage incoming and outgoing mail and packages
  • Coordinate office meetings, conference rooms and hospitality service
  • Maintain client/contact database in Deltek Vision and Outlook
  • Provide light clerical and accounting support
  • Maintain office and kitchen supplies

Qualifications

Chief Financial Officer

Baltimore, Maryland

As a key member of the Executive Management team, the CFO will report to the President and assume a strategic role in the overall management of the company. S/he will interact on a regular basis with the Board of Directors, Principals, project managers, and staff; and is responsible for the direct supervision of the Accounting Manager and the indirect supervision of all employees in the accounting department.

The CFO is responsible for projecting and preserving the long-term outlook of the Company, while applying business analytics to aid the firm in thriving in the present. S/he is accountable for presenting and reporting accurate and timely historical financial information, managing risk and liquidity when investing firm funds, and playing an integral role in developing economic strategy and associated forecasting.

Responsibilities

  • Participate with the Board and Executive Team in establishing corporate financial objectives, operational plans, and strategic plans and policies.
  • Implement financial plans, policies, procedures, and practices within the corporation that support the corporate plans and objectives.
  • Assure the full communication, understanding, and adherence to financial operating policies and procedures at all levels.
  • Advise Board of Directors of firm’s financial performance.
  • Oversee the firm’s cash position, investments, and borrowing.
  • Maintain records of capital stock and ownership transition.
  • Maintain the firm’s relationships with professional services providers such as bankers, independent auditors, insurance agents, plan administrators, project partners, and vendors.
  • Develop internal controls to safeguard assets, ensure validity of financial reporting, promote adherence to policies and procedures, and promote effectiveness and efficiency of operations.
  • Interpret monthly operating results and their effect on the financial aspects of the firm, and make specific recommendations to management for profit improvement.
  • Work closely with operating units and project accounting to assure proper revenue recognition and prompt collection of accounts receivable.
  • Manage corporate tax planning, supervise preparation and filing of tax returns, and oversee all tax matters.
  • Develop and maintain a business insurance program providing protection against insurable risks.
  • Assure that all legal requirements for reporting and recordkeeping are met (federal, state, local).
  • Act as a resource to operations staff (i.e. managing principals, directors, office managers) with regard to financial matters.
  • Administer ESOP, 401(k), and Profit Sharing Plan.
  • Analyze financial aspects of benefits programs and recommend appropriate programs and vendors.
  • Participate with management in evaluating, negotiating, and integrating potential acquisitions.

Qualifications

  • 10+ years of progressively responsible financial leadership roles, preferably in the architecture or engineering industry.
  • Bachelor’s degree (MA/MBA preferred) in Accounting, Finance, or Business Management.

  • Leading the digital production of materials for marketing brochures, proposals, and client interviews/presentations coordinating with consultant team members

Senior Project Manager

The Senior Project Manager works directly with the Design Director and Principal-in-Charge in the execution of the work, as well as assists in firm development duties.

Responsibilities

  • Works independently and oversees and plans the major aspects of architectural projects.
  • Focus in Project Management, Design, Construction Documents, Technical Specifications, Construction Administration aspects of Project Delivery.
  • Provides overall guidance on project objectives and concepts.
  • Supervises, directs and evaluates work of other architects and technicians.
  • Participates in company promotional activities including client contact, business development, and proposal development.
  • Includes interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Qualifications

  • 7-10 years of related experience
  • Strong analytical, communication and presentation skills, ability to plan and deliver complex projects in an interdisciplinary environment.
  • Familiar with architectural concepts, practices, procedures, final documents, specifications, materials and construction practices
  • Relies on extensive experience and judgment to plan and accomplish goals
  • Architectural Registration preferred
  • LEED accreditation required within 12 months
  • CSI certification encouraged- CDT (Construction Documents Technologist) as the preliminary test followed by CCS (Certified Construction Specifier) and the CCCA (Certified Construction Contract Administrator)
